List the parts you actually used. Start from the estimate, then fix the counts. The customer never sees this — it feeds costs, the reorder sheet and your truck stock.

Each document opens with its default template; the technician can switch to any other template made for it.

Tap each signature line to sign on the tablet. Once every required signature is captured, “Finalize & seal” locks the document and stamps it with a tamper-evident SHA-256 seal.
Pick what kind of template it is and name it. You’ll design it in the builder next.
Tags are short labels on a job, like “10 Year” or “Gated.” Each tag belongs to a category and says who may put it on a job. Turn on Required to close out for a category and a job needs at least one tag from it before dispatch can close it.
Who can change tags: owners, managers, and anyone with the Tags permission (Users page).
Everything submitted on this date, combined into one reorder list.
Each exported job's invoice image and completed Excel are uploaded to your OneDrive under JobSheets/<technician>/. Jobs exported by technicians on their own devices are picked up when you press Sync.
Creates clearly-marked fake job data and assigns it to a user — for testing until Dispatch.me webhooks are live. Real dispatches will flow into this same list.
Client companies using CaldaPro. People are assigned to a company on the Users page; each company’s owners and managers see only their own jobs, history and materials.
Sent from the form on caldapro.com. You also get an email at hello@caldapro.com for each one.
Shared by every tenant's dispatch map. It's a browser key, so restrict it to your domains and cap its daily quota in Google Cloud.
A demo company fills itself with made-up customers and jobs every day, and has six simulated technicians in three California teams that work whatever is dispatched to them. The customers are made up, so there is nobody to text, and card payments are refused.
To add a tester to the shared demo, invite their email to it on the Users page: invited as Staff they become a technician with jobs waiting; invited as Manager they get the office and the dispatch board.
Makes a separate company just for them, copied from the shared demo’s price book, packages, tags and forms. They sign in with this email and land in it as its owner. It switches itself off after the number of days you pick.
Only needed once, when moving data from before multi-company support or inline photos. Safe to run again — it skips what’s already done.
The first company’s original price book and Excel workbook are not part of the website. They are stored where only that company and you can read them. Upload builtin-pricebook.json and builtin-workbook.xlsx from the project’s private folder (you can pick both at once).
Checking…
Group technicians by area. Each team gets its own row on the dispatch board, and new bookings go to the team whose ZIP codes match the address. Don't know the ZIPs? Click Pick on map and click the areas instead. A tech belongs to one team — pick it on their row under People.
Only invited emails get access — anyone else who signs in waits on a pending screen. The invite is claimed automatically the first time they sign in with this email.
Google’s reviewers sign in with an email and a password instead of a Google account. The email is the invite marked “App-store review account”; the password is made here. It only ever opens that account, as a technician in the demo company — never anyone’s own Google or Microsoft sign-in.
Everyone who has signed in. Owners control everything. Managers run the day — dispatch, customers, documents, day sheet, inventory — but not users, price book or settings. Staff get only the permissions ticked on their row. Tap Edit to change someone’s details, role or permissions.

Signed sales count on the day the last signature lands. Collected counts on the day a job is closed out. Only activity inside the selected range is shown.
Set who pays for this item on each warranty company’s jobs. Leave a price blank to use the retail price.
First row = headers. Recognized (any order): type, section, code, description, price, cost, vendor, vendor_part, billable, track_usage, photo_url. Also accepts desc, name, part, sku, kind. type is one of equipment / material / service / fee / discount (guessed from the description if blank). Imported rows are ADDED to the catalog.
Time-boxed discounts a tech applies on the estimate — percent or dollar off. Distinct from senior/military discount items in the catalog.
Start a line with # for a section header (e.g. Warranty, Included). Start with ~ for a greyed “not included” line. Plain lines get a ✓.
Drag items from the catalog into the box, or tap one to add it. Items land in the slot for their type.
A group is 2–3 packages shown side by side as Good / Better / Best — e.g. one group for 50 gal gas, another for tankless, another for heat pump. Techs can present several groups on the same job. Leave a tier empty for a two-option group.
Printed on every estimate, agreement and invoice.
Water heater & plumbing companies get the water-heater site details, rating-plate scan and heater age on the Arrival page.
With office closing, the technician's last step sends the job to Close-out review on the Dispatch page, where the office checks tags, payment and paperwork before closing it.
Off: techs are warned if they skip it, and the estimate’s items are recorded as used. On: Close out and Pause refuse until the tech submits the list or marks “nothing used”.
Home warranty companies and who pays for new jobs.
The office or tech can change this on any job.
Optional. Track what’s on each truck and in the warehouse — par lists, counts, restock lists, and stock that comes off the truck when a job is closed. Without it, the Day Sheet reorder list still works.
Every field tech gets a truck. Managers (and anyone granted Inventory on the Users page) run the warehouse, set par lists and restock any truck.
Titles and wording on the documents your customers sign.
When on, a contract can be signed at Presentation for everything except signatures marked "capture at completion" in the PDF Mapper (e.g. Acceptance of Work Performed) — those are captured on the Invoice page once work is done, then the PDF is sealed.
In-app calling for your company numbers.
Company numbers ring the dispatch team right in the app, fall back to a phone, then voicemail. Technicians tap-to-call customers through the company number. To get a new number, ask CaldaPro support — once it’s set up, add it here.
Incoming calls ring these people's browsers (the in-app softphone).
Job sheets, PDFs and Excel filed to OneDrive.
Connect the OneDrive account, run a sync, or turn on automatic syncing of every technician’s closed jobs.
One-time: adds activity for jobs booked before the log started, from your existing jobs and close-outs.
Bring in your existing customer list. First row = headers; recognized: first, last, name, phone, email, address, city. Imported customers show up in office search right away.
